Who we are

Tutaris is a compliance platform for social housing, provided by Draysen. This policy explains how we handle personal data across the Tutaris website (tutaris.com) and the Tutaris mobile app used by field engineers. If you have any question about this policy or your data, contact us at hello@tutaris.com.

For most information held about residents and properties, the housing provider is the data controller and Tutaris acts as their data processor. That means we handle that information on the provider's instructions, and residents should contact their housing provider to exercise their data rights. For website visitors and for the accounts we issue to engineers and administrators, Tutaris is the controller.

If you use the tutaris.com website

If you join our list or request a demo, we collect your email address and any details you choose to include in your message. We use these to respond to you and to send updates about Tutaris. Our lawful basis is your consent, given when you submit the form, and you can withdraw it at any time.

If you use the Tutaris app

Engineers and administrators sign in with an account issued by their organisation. For that account we hold your name, email address, role, and a record of the jobs and actions you carry out in the app (such as visits logged, evidence captured, and appointments completed). Our lawful basis is the legitimate interests of running the compliance service your organisation has engaged us to provide.

You can explore the app in demo mode without an account. Demo mode uses sample data only and saves nothing.

Resident and property information

To carry out compliance work, the app handles information about properties and residents, including names, addresses, contact details where provided, appointment details, and photographs and certificates captured on site as evidence for a job. This information belongs to the housing provider, who is the data controller. Tutaris processes it only to deliver the service and never uses it for our own marketing. Residents who want to access, correct, or delete their information should contact their housing provider.

Device permissions the app asks for

The app asks for these permissions only when you use the feature that needs them, and you can decline or change them in your device settings at any time:

  • Camera and photo library. To take site photos and certificates, or attach existing images, as evidence for the job you are working on. Photos you attach are stored with that job.
  • Approximate location. Used only to show local weather for your working day. Your approximate coordinates are sent to our weather provider to fetch the forecast. We do not store your location or track your movements.

Where your data is stored, and who we share it with

Data is held securely in our hosted database (Supabase) and is encrypted in transit and at rest. We use a small number of service providers to run Tutaris, including our database and hosting provider and a weather provider (WeatherAPI.com) that receives approximate location to return the forecast. These providers act on our instructions. We never sell your data or share it with third parties for their own marketing.

How long we keep it

We keep account and website data for as long as you have an account or remain on our list, and then delete it on request. Compliance records, including evidence photos and certificates, are retained for as long as the housing provider and the law require them, and are then deleted.

Your rights and deleting your account

Under UK data protection law you can ask to access, correct, or erase your data, and withdraw consent at any time. To delete your Tutaris account and personal data, use Menu, then Delete account in the app, or email hello@tutaris.com. We will confirm once it is done. Website subscribers can unsubscribe or email us to be removed. Residents should contact their housing provider, who controls their information. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
